Creating an Email Strategy
Use this guide to set up a new email strategy, from basic configuration through sending and reporting.
Basic Settings
- Name — Descriptive name for the strategy
- Subject Line — Email subject (can include personalization variables)
- From Name — Sender display name
- From Email — Sender email address (must match one of your verified sending domains)
- Reply-To — Where replies are directed
Instructions
Use the instructions field to define how the AI should write emails for this strategy:
- Purpose — What the email campaign is about
- Tone — Professional, friendly, urgent, etc.
- Key Messages — Points the email should convey
- Call to Action — What you want recipients to do
- Personalization — How to use contact data for personalization
The AI uses these instructions together with each recipient's CRM data to generate personalized emails.
Tools
Enable the tools the strategy should be allowed to use:
- Web Search — Research contacts or companies before writing
- Knowledge Base — Reference your uploaded documents
- Contact Lookup — Access CRM data for personalization
List Settings
Configure which contacts should receive emails:
- Go to the strategy's List Settings page
- Select the target list(s)
- Configure exclusion rules (e.g., skip contacts who already replied)
- Set send limits and scheduling
Sending Emails
Emails can be sent via:
- Manual Send — Trigger a send from the strategy page
- Orchestration — Include the email strategy as a step in a workflow
- Scheduled — Configure automatic sending on a schedule
Viewing Sent Emails
After sending, review results from the strategy's Emails tab. Each record can show:
- Recipient
- Subject and preview
- Delivery status (sent, delivered, opened, clicked, bounced)
- Timestamps
