See your Workiz jobs a week at a time, and move, cancel or assign a job without opening Workiz.
The Workiz Jobs page shows your business's Workiz jobs a week at a time: who the customer is, when the job is, who is on it, what it costs, and which conversation booked it. From a job you can move it to another time, cancel it, change its status, or assign a technician. Each change goes to Workiz straight away, through the same checks your AI agents use when they book.
workiz:jobs:read) to see the page. The Member, Manager and Viewer roles carry it.workiz:jobs:manage) to change a job. The Member and Manager roles carry it; Viewers can only read.Tenant admins always have both. A workspace whose roles were created before October 27, 2026 gets the two permissions on its default roles when a Karmaflow.ai administrator runs the roles update. Until then, a tenant admin can tick them on Settings (the gear icon) → Access & security → Roles & Permissions.
When you open a week, Karmaflow.ai asks Workiz for that week's jobs before showing them, unless it already did in the last 15 minutes. A line under the filters says when the week was last read from Workiz. Refresh asks again straight away, at most once a minute; pressed sooner, the line says how many seconds ago the last read was. If Workiz cannot be reached, an amber line says so and the page shows the last copy it has.
Today's column is outlined, and the week's job count sits beside its dates. Search filters as you type.

| Section | What it holds |
|---|---|
| Header | The customer (a link to their contact when Karmaflow.ai knows them), the Workiz job number, the status (and its reason), the time, and Open in Workiz |
| Reach the customer | Call, Text, Email and Directions, under the header (see below) |
| Last change | The last change made through Karmaflow.ai: what changed, who made it (a person's name, or the agent and its conversation), and when. If the job has changed in Workiz since, the line says so |
| Job | Address, job type, source, team, tags and the job's notes |
| Technicians' notes | The notes your team wrote on the job in Workiz, newest first (only when there are some) |
| Client | Name (linked to the contact, or a way to link one), phone, email and the Workiz client number |
| Money | Line items; subtotal, discount, tax and tip when the job has them; total and amount due; the payments recorded on the job; and its invoices with what has been collected |
| Conversations | The chat, call or text conversation that booked the job, and the one that moved it, each linked |
Amounts appear only when Currency of Workiz amounts is set on the Workiz settings page; without it they are withheld rather than shown with a guessed currency.
Payments, technicians' notes, tax and tip come with the job on the Workiz v2 API (and from a job Automation on v1). Invoices appear when the workspace uses the Workiz v2 API with invoice access (see Workiz), or when a Workiz Automation sends them to Karmaflow.ai.
While a change is on its way to Workiz, the header reads waiting for Workiz to confirm. Open the job again after half a minute and Karmaflow.ai reads it from Workiz, so the line clears even though Workiz sends no webhook for the change. Opening a job also reads it from Workiz whenever Karmaflow.ai's copy is more than five minutes old, so a change the office made in Workiz shows up there.
Under the job's header is a row of buttons for getting in touch without leaving the job:
Call, Text and Email are the same as on a contact's page. When the customer is one of your contacts, each one is recorded on their timeline with your name. Call appears only where voice is switched on for your workspace, and Text only where SMS is.
The customer's name in the header and in the Client section links to their contact, and shows the contact's name. When Workiz holds the customer under another name, the Client section adds it (In Workiz: Pat). Karmaflow.ai finds the contact from the email and phone number on the job.
When it cannot tell, the Client section says why:
With Reschedule, Cancel & Assign Workiz Jobs you can then link the job yourself. Associate contact searches your contacts, and Create contact adds one, filled in from the job. The link is kept with the job, and its owner is shown beside the name (linked by Sam Lee). If two contacts are later merged, the link follows the merge.
A green line confirms the new time and says whether the customer was emailed it (for example, No customer email was sent: there is no email on the job.). Your office gets the usual rescheduled-booking alert, which says the job was moved from the Workiz Jobs page and by whom.
If the time was taken in the meantime, the page says so and nothing changes. Pick another time.
If the job already has the status and reason you picked, the page says so and the button stays off: nothing would change. Workiz has no delete, so a cancelled job stays in your Workiz list as Canceled. A job that is Done, Canceled or Done pending approval cannot be moved, and a Done or Canceled job cannot be reassigned; its status can still be changed (for example, Done pending approval to Done).
Workiz assigns by name. If two active team members share a name, the page refuses and asks you to assign in Workiz, so the job does not go to the wrong person.
The page of a chat, a call or an SMS conversation shows a Workiz jobs card under the conversation's outcome, so you can act on the customer's job while you read what they said. The card appears only where Workiz is connected and your role has View Workiz Jobs.
The card has two parts:
The Outcome card above it keeps its Booked in Workiz line, with Open job (the job's page here) and a Workiz link.
Select a job to open it. It shows the last change made through Karmaflow.ai, Open job (the job's own page) and Open in Workiz. With Reschedule, Cancel & Assign Workiz Jobs you also get Move, Cancel or status and Assign. They work exactly as on the job's own page, with the same checks.
A change made here is recorded with your name and this conversation. The job's last-change line reads, for example, Moved to Wed Nov 18, 2:00 PM by Sam Lee, from an SMS conversation. The office alert says the job was moved from that conversation's page. The change does not count as the agent's booking work.
The card does not appear when the conversation booked no job and Karmaflow.ai finds no other job for the customer: none matches their Workiz client, phone number or email.
A contact's page in the CRM has a Jobs card with the customer's Workiz jobs at a glance. The card appears where Workiz is connected and your role has View Workiz Jobs.
The first line sums the customer up: how many jobs they have, how many are upcoming, and what they still owe, for example 7 jobs · 1 upcoming · CA$239.50 due on 2. The amount due counts every job that is not cancelled. Until Currency of Workiz amounts is set, the card says balance due without a figure.
Under it are the jobs: open upcoming jobs first, soonest first, then the rest, newest first. Each shows its Workiz number, status, the AI badge when an agent booked it, the time, the job type, the team and any amount due. Select the number to open the job. The card lists five; Show all lists the rest, up to the latest 50.
Karmaflow.ai finds the jobs by the contact's phone numbers and email, and by every job someone linked to this contact on the job's page (see The customer's contact). A line at the foot of the card says which of these found a job. When the contact has none, the card says what it looked up. When a job you expect is missing, its phone and email differ from the contact's: open the job and link it with Associate contact.
Workiz Jobs is not in the CRM menu. Workiz is not connected yet, or your role lacks View Workiz Jobs. Ask a tenant admin.
A job I just changed in Workiz shows the old details. Workiz sends new jobs to Karmaflow.ai as they happen (see Workiz), but not every later change: a status change never arrives by webhook. On the v2 API the page asks Workiz what changed each time it loads (at most every two minutes), so reload the page. On either API, opening the job reads it from Workiz when Karmaflow.ai's copy is more than five minutes old, and Refresh reads the week again.
A technician is missing from Assign. The team list is read from Workiz by the background connection check (section 5 of the Workiz settings page sets how often). A new team member appears after the next check.
Cancel says a reason is needed but the list is empty. Your Workiz account requires a reason, and none of your jobs uses one yet. Cancel the job in Workiz once with a reason; it will then be offered here.
