Notifications

The Notifications page (Settings → Notifications) is where you define the sender identities KarmaFlow uses when it sends transactional and notification email on your behalf — billing alerts, agent-generated replies, system messages, and anything else where the platform speaks to your customers.

Why sender profiles exist

Without a configured profile, KarmaFlow sends transactional email from a generic system address. That's fine for staging or new tenants, but most teams want notifications to come from a recognizable address tied to their own brand. A sender profile lets you specify:

You can have multiple profiles (one for billing, another for general notifications, another for product updates) and pick one as the default.

Prerequisites

Before you can create a sender profile, you need at least one verified sending domain in Settings → Email Sending. If you don't have one, the Notifications page shows a banner with a link back to set one up.

Creating a profile

  1. Open Settings → Notifications.
  2. Click + Add sender profile.
  3. Fill in the modal:
    • Profile name — an internal label (recipients don't see this), e.g. Default, Billing, Support.
    • From name — the human-readable name shown in the recipient's inbox.
    • From email — type the local part (the bit before the @), then pick the verified sending domain from the dropdown. The local part must use only one of your verified domains.
    • Reply-to email (optional) — defaults to the From address if blank.
    • Use this as the default sender — check this to make the new profile the tenant default. The first profile you create is automatically set as default.
  4. Create profile.

Default profile

Exactly one profile is the default at a time. The default is what KarmaFlow uses for system notifications when no other profile is specified. To change it, click Set default next to any non-default profile.

If you delete the default profile, the oldest remaining profile is promoted to default so notifications never break.

What profiles are used for today

Future features that fall under "transactional" or "system" email will use the same resolver, so adding a profile now means every notification surface inherits your branding without further setup.
